Mynder is built for PHIA and PIPEDA from the ground up. Your health information stays in Canada, encrypted, and shared only with the people you choose.

This page explains, in plain language, what information Mynder collects, how we protect it, and the choices you have. It applies to myndertherapy.com and the Mynder client, provider, and admin applications.

Who we are

Mynder Therapy Inc. (“Mynder,” “we,” “us”) is a Canadian mental-health therapy platform that connects people seeking care with independent, registered Manitoba therapists. For the personal health information you share through Mynder, we act as an information manager on behalf of the therapists who provide your care.

The laws we follow

We are designed to comply with Manitoba's Personal Health Information Act (PHIA) and Canada's Personal Information Protection and Electronic Documents Act (PIPEDA). Your information is hosted in Canada.

Information we collect

Account information

When you create an account we collect your email address and, optionally, your phone number. Authentication is handled by a dedicated identity provider; no health information is stored alongside your login.

Personal health information

To match you and support your care, we collect the information you provide in your intake and profile — which may include your date of birth, health card number, insurance details, the concerns you want help with, and the clinical notes your therapist records. Fields like these are treated as personal health information.

Technical information

We collect limited technical data needed to run the service securely, such as device and log information. We do not sell this or any other information.

How we protect it

  • Canadian residency. Your data is stored in Canada (Montréal / central Canada region).
  • Field-level encryption. Sensitive health fields — date of birth, health card, insurance numbers, and clinical notes — are encrypted individually (AES-256-GCM, with keys managed in a Canadian key service), not just encrypted “at rest” in bulk.
  • Encryption in transit. All connections use TLS.
  • Role-based access. People can only see the information their role requires, and a therapist sees only their own clients.
  • Audit logging. Access to health information is recorded in an append-only audit trail so we can detect and investigate misuse.

How we use your information

  • To match you with suitable therapists and let you book sessions.
  • To deliver secure video sessions, reminders, and messages.
  • To process payments and, where available, insurance claims.
  • To keep the service safe, secure, and compliant.

Who we share it with

We share your information only as needed to provide the service, and never for advertising. Specifically:

  • Your therapist — the person you choose receives the intake and profile information needed to provide care.
  • Service providers acting on our behalf — for payments, scheduling and video, insurance billing, and email or SMS delivery. These providers are bound by contract to protect your information and use it only to perform their service.
  • When required by law — for example, a therapist's duty to report a risk of serious harm, or a valid legal order.

We do not sell your personal or health information to anyone.

How long we keep it

We keep your information for as long as your account is active and as long as required to provide care and meet legal and professional record-keeping obligations. Clinical records are retained for the period required of regulated health professionals in Manitoba.

Your rights

Subject to law, you may ask to access the personal health information we hold about you, ask us to correct it, and withdraw consent for certain uses. To make a request, contact our Privacy Officer below. You also have the right to complain to the Manitoba Ombudsman (which oversees PHIA) or the Office of the Privacy Commissioner of Canada (which oversees PIPEDA).

If there is a breach

If a privacy breach creates a real risk of significant harm, we will notify affected individuals and the appropriate authorities as required by law, and we will take steps to contain and remedy the issue.

Changes to this policy

We may update this policy as Mynder grows. We will post the new version here and update the date above; significant changes will be communicated to you directly.
